Hero House Cleaning is a family-run domestic cleaning company based in Leeds, West Yorkshire, serving households across the LS postcodes. For the purposes of the UK GDPR and the Data Protection Act 2018, we are the data controller for the personal information described in this policy.

• Your name, phone number, email address and property postcode.
• Details about your home and the service you need, such as the number of bedrooms and bathrooms, the type of clean and any notes you send us.
• Booking and service history, including dates of visits, access arrangements and any feedback you give us.
• Payment records, such as invoices and confirmation that payment was received.
• Basic technical information collected by our website, such as pages visited and general location, where you have consented to analytics cookies.

• To respond to quote requests and provide cleaning services — this is necessary to take steps at your request before entering into a contract, and to perform our contract with you.
• To manage bookings, staffing and access to your home — performance of our contract with you.
• To keep accounting and tax records — compliance with our legal obligations.
• To improve our service, handle complaints and protect our team — our legitimate interests in running a safe, well-managed business.
• To send marketing emails or texts — your consent, or our legitimate interest in contacting existing customers about similar services. You can opt out at any time.

We never sell your data. We share it only with the cleaners assigned to your booking and with trusted suppliers who help us run the business, such as our customer relationship and booking software, email provider, payment processor and accountant. These suppliers act on our instructions under written agreements. We may also disclose information where the law requires it.

Where a supplier stores data outside the UK, we make sure appropriate safeguards such as UK International Data Transfer Agreements or adequacy regulations are in place.

Quote enquiries that do not become bookings are kept for up to 12 months. Customer and booking records are kept for the duration of our relationship and for six years afterwards to meet HMRC and insurance requirements. Marketing preferences are kept until you opt out.

Access to customer records is limited to staff who need it. Key and alarm-code details are stored securely and logged, our cleaners are DBS-checked and reference-verified, and we are fully insured. Our website is served over HTTPS.

Under UK data protection law you have the right to access your data, to have inaccurate data corrected, to ask for erasure or restriction, to object to processing based on legitimate interests, to data portability, and to withdraw consent at any time.
